WHY DO I SAVE MONEY WITH A DIGITAL CARD?
Beyond the obvious savings on graphic design and printing costs of traditional cards, a digital card significantly reduces management expenses. Our digital card effectively eliminates paper production and filing for both mandatory and optional documents (membership forms, certificates, privacy, communications, etc.); it also removes the need for producing, printing, and distributing physical or plastic cards and their replacements.
WILL IT SAVE ME TIME?
Yes, undoubtedly. Once the program is correctly set up, it takes just 30 seconds to enter a member’s data. The digital card and the app download link are sent automatically—providing the perfect tool for members to keep their data updated, read news and communications, and send you all necessary documents (privacy forms, medical certificates, etc.).
DO I NEED TO PURCHASE SOFTWARE?
No, absolutely not. beecards is a powerful Software as a Service (SaaS) platform offered online, accessible with a small fee and requiring no installation.
In fact, with beecards you get a highly customized software product that would cost 500 times more if custom-built for you. Not only that, but the software is continuously updated, improved, and expanded over time based on client requests, saving you those costs as well. Finally, your data is automatically backed up and protected by our systems.
IS IT BENEFICIAL FOR MY MEMBERS TOO?
Yes, very much so. First of all, with a simple free app, your members will always have their cards right at their fingertips. Additionally, the app allows you to offer useful and innovative services to your members. Besides making you stand out from the competition, it enables them to perform various tasks from home without having to physically visit the Association. For example, they can update their personal details, accept privacy terms, send/receive standard documents, read your news, and send you messages.

DOES BEECARDS MANAGE MULTIPLE CARD TYPES?
CAN I MANAGE DAILY, WEEKLY, OR MONTHLY CARDS?
Yes, of course. With beecards, each card type can have a specific duration in days, months, or years. You can also set a fixed expiration date, such as the end of a season or a specific calendar date.
CAN I MANAGE SPECIFIC CARDS FOR AN EVENT?
HOW DO I DISTRIBUTE CARDS TO MY MEMBERS?
Members simply need to download the free beecards app (or your custom branded app) from the Stores and install it on their smartphone. Once you enter the member’s data and assign them a card type, the system automatically emails them the download link and login credentials.
IS IT STILL POSSIBLE TO PRINT THE DIGITAL CARD?
Yes, it is. When the credentials are sent via email, the card is also attached as a printable .JPG file that can be used at any time.
CAN MEMBERS VIEW THEIR CARD WITHOUT AN INTERNET CONNECTION?
An internet connection is only required for the initial login and to download the card for the first time, as well as for updating news and communications. Once downloaded, the card remains accessible on the smartphone even without internet access.
HOW DOES CARD NUMBERING WORK?
The card number is assigned by the association and cannot be modified by the member.

HOW DO I SUBSCRIBE TO THE SERVICE?
Simply by choosing the plan that best fits your needs and proceeding with the online payment of the first fee. Once completed, you will receive the credentials to access your private area, where you can immediately start using the software.
HOW DO I RENEW THE SUBSCRIPTION?
In your private area there is a “Renewals” section from which you can make the payment of subsequent fees. Obviously, before the expiration, you will receive courtesy e-mails that will remind you of the fee expiration.
HOW IS THE PAYMENT MADE?
beecards uses the PayPal platform for payments and therefore you pay the fees online with all the payment methods provided by the platform (credit card, debit card, bank transfer, etc…). You can therefore use the method you prefer every time you make a payment.
WHAT IS THE FREQUENCY OF THE FEE?
The fee is configured on an annual basis.
WHAT HAPPENS IF I FORGET TO PAY THE FEE?
Upon expiration, access to your private area will be limited to the “Renewals” item only. Simultaneously, your members’ APPs will be disabled; for this reason, we advise you to pay attention to the expiration of your plan, which is always visible in your private area. As soon as the payment of the missing fee is made, everything will be immediately reactivated, including for members. If after 3 months from the expiration we have not received any payment, we consider the subscription terminated and we will permanently delete all data in your private area.
HOW DO I CANCEL?
Simply by not paying the fee upon expiration. beecards does not provide for any automatic withdrawal and this allows you to interrupt the subscription at any time, without constraints, simply by not paying the fee. We think it is a functional product and that it is useful for you to use it, not the classic subscription that is difficult to interrupt.

HOW DO I ENTER MEMBER DATA?
In your private area, under the “Members” item, you see the list of uploaded members, each with their own card. On that screen you can add a new member, entering their personal data, their contact details (e-mail, telephone, etc.) and the type of card assigned. In this phase it is very important to have a valid e-mail address, accessible by the member, because it is the address to which the credentials to access the APP will be sent.
CAN A MEMBER HAVE MORE THAN ONE CARD?
No, it is not possible at the moment. But we reserve the right to implement a multiple card system in the future.
WHAT ARE ATTACHMENTS AND WHAT ARE THEY FOR?
Attachments are PDF documents or images (.jpg, .png, etc.) that can be uploaded by the member themselves or by you for them. These attachments can be, for example, a sports medical certificate, club regulations, photos of an identity document, a sports card, green pass, etc. These attachments are always visible to the member in their APP and to you in your private area. They can be deleted and resent later. There are no limitations on the number of attachments that can be uploaded.
HOW DO I MANAGE MEMBERS' CARD EXPIRATIONS?
In your private area you can view, and possibly print, the list of members by sorting them, for example, by their card expiration date. In this way you will always have card expirations under control and you can notify members by sending them a communication or an email.
HOW DO I RENEW A MEMBER'S CARD?
In your private area, under the “Members” item, you can change the card assigned to a member. In this way, the new card will appear in the member’s APP upon their first internet access.
HOW LONG ARE THE APP CREDENTIALS VALID FOR?
The APP downloaded by the member and the credentials to access it do not expire. The APP, and therefore the card, activates/deactivates in relation to the validity/expiration of the card you have assigned to the member. By changing their card, and therefore renewing it, access to the APP is automatically reactivated.
WHAT DO I NEED THE NEWS FOR?
From your private area, you can enter one or more news items that will be shown in the “News” section of your members’ APP. A news item consists of a title, an image, and a text. News can concern anything, such as circulars, events, organizational changes, etc. News can be entered in unlimited numbers, they can be modified or deleted, and they are displayed from the most recent to the oldest.
WHAT DO I NEED COMMUNICATIONS FOR?
In your private area you have the possibility to send/receive communications to/from your members. Communications are short text messages, like SMS, that you can send to a single member or to all members at the same time. The member, through their APP, under the “Communications” item, reads the message and can reply to you. The member can in turn write a communication, but only to you who represent their Association (not to other members).
WHAT ARE NEWSLETTERS?
In your private area you have the possibility to prepare emails and send them, even periodically, to your members (like a newsletter). With a simple operation, you send an email to everyone.
WHAT HAPPENS IF THE MEMBER LOSES THEIR CREDENTIALS?
In your private area, with the “Users” function, you manage the credentials of all your members. Therefore, if a member loses them, you can modify their credentials and send them again.
Alternatively, the member can use the “forgot password?” function of their APP, thus independently managing their new credentials.
CAN I DELETE A MEMBER FROM THE ARCHIVE?
If you have incorrectly entered a member, or if they have not renewed their membership, or for any other reason, you can delete both the single member’s registration and their credentials.
CAN I MODIFY A MEMBER'S DATA?
Yes, in your private area you can always modify all member data, changing both personal details and the card associated with them. This last operation is useful, for example, to provide a new card to your member upon expiration, making the new card appear on their APP at their next internet access. Furthermore, keep in mind that the member themselves can modify their own personal and contact details if these are incorrect or have changed.
